For information about purchases, delivery, returns and complaints, please see our Terms & Conditions and Shipping & Returns pages.

2 The personal data we collect

The data we collect depends on how you interact with us. It may include:

  • Contact and delivery information: your name, email address, telephone number, billing and delivery addresses, and company or VAT details if supplied for invoicing.

  • Order and transaction information: products and quantities purchased, prices, discounts, order history, payment status, transaction references, invoices, deliveries, returns and refunds.

  • Account information, if you create an account: registration details, saved preferences and account activity.

  • Communications: enquiries, correspondence, feedback, complaints, and information you provide when reporting a product concern.

  • Pet information, if you choose to provide it: your pet’s name, species, breed, age, weight, diet, activity, sensitivities and nutritional or health concerns, together with your questionnaire responses.

  • Technical and usage information: IP address, browser and device details, pages visited, timestamps, security logs and cookie identifiers, according to the technologies used and your consent choices.

  • Preference records: newsletter choices, cookie choices and records showing when and how consent was given or withdrawn.

Pet information is not itself human health data. However, when linked to an identifiable owner, such as through an email address, we handle the linked record as personal data. Please do not include your own medical information or unnecessary personal information about other people in pet questionnaires or messages.

We do not store your credit or debit card details. Payments are processed by our payment service providers. We receive only the transaction information needed to manage your order, such as payment status and transaction references.

3 Where your data comes from

We receive data directly from you when you place an order, complete a form, create an account or communicate with us. Our website and hosting services also generate technical records. We receive relevant payment confirmations, delivery updates and dispute information from payment providers and delivery partners. If someone orders a gift or delivery for you, we may receive your name and delivery details from that purchaser and use them to fulfil the delivery.

4 Why we use your data and our legal bases

Orders and delivery. We use contact, order and transaction details to take steps you request before a purchase, process payment, supply products, arrange delivery and administer contractual returns. Our legal basis is performance of a contract or steps requested before entering into a contract, under Article 6(1)(b) GDPR.

Accounts and customer service. Where you request an account or assistance connected with a purchase, we use the information necessary to provide that service under Article 6(1)(b). For general enquiries that are not contractual, we rely on our legitimate interest in responding to people who contact our business, under Article 6(1)(f).

Legal duties and product safety. We process relevant invoice, tax, transaction and product-safety information where necessary to comply with applicable legal obligations, under Article 6(1)(c). This includes statutory accounting duties, consumer obligations and required traceability or recall actions.

Complaints, security and legal claims. Where not already required by contract or law, we use relevant records for our legitimate interests in resolving complaints, preventing fraud, protecting our systems and establishing, exercising or defending legal claims, under Article 6(1)(f). We consider the impact on your rights and limit processing to what is necessary.

Newsletters and promotional emails. We use your email address and any optional preferences you provide to send marketing when you have consented, under Article 6(1)(a), together with applicable electronic marketing rules. You can withdraw consent at any time. Buying a product or completing a questionnaire does not automatically subscribe you to marketing.

Optional pet questionnaires. With your consent under Article 6(1)(a), we use your responses and contact details to provide the nutritional information or product suggestions described on the form and to understand pet-owner needs for product development. Any later marketing emails require a separate marketing choice. Questionnaire suggestions are general nutritional information, not a veterinary diagnosis.

Optional analytics and advertising. Where enabled and subject to your prior consent, we use analytics or advertising technologies to understand website use and measure campaigns, under Article 6(1)(a) and applicable cookie rules. Necessary operational and security processing relies on the relevant contractual basis or our legitimate interest in providing a secure website. Section 9 identifies the technologies and purposes actually used.

We may use statistics that have been irreversibly anonymised so that individuals can no longer be identified. Removing a name alone does not make data anonymous.

5 Whether you must provide information

We mark required fields when collecting information. We need certain contact, delivery and transaction information to fulfil an order; if you do not provide it, we may be unable to process the purchase. Some information is also required for statutory invoices. Newsletter sign-up and pet questionnaires are optional. Declining optional marketing or cookie consent does not prevent you from purchasing products.

6 Who receives your data

Authorised members of our team access personal data only where necessary to manage orders, provide customer support, maintain our systems or fulfil other purposes described in this policy. We manage order preparation, fulfilment and IT support internally.

Where necessary, we also disclose relevant personal data to:

  • Website and hosting provider: Wix provides the platform for our website and online store. Wix processes personal data on our behalf when providing relevant services and may act as an independent controller for certain activities described in its own privacy information.

  • Payment service providers: The providers available at checkout process payments and related transaction information. They may also process information as independent controllers to meet their legal obligations and prevent fraud. We do not store your full credit or debit card details.

  • Postal and courier services: Although we prepare and fulfil orders ourselves, delivery services receive the name, delivery address and any contact details necessary to deliver and track your parcel.

  • Accounting provider: Otas, d.o.o. receives invoices and related information necessary to provide accounting services and support compliance with tax and accounting obligations.

  • Public authorities and legally entitled recipients: We disclose information where required by law or where necessary to establish, exercise or defend legal claims.

Selling our products through veterinary practices does not automatically give those practices access to our online customers’ personal data. If you purchase directly from an independent veterinary practice, that practice is responsible for explaining how it processes your information. If a practice participates in fulfilling an order placed with us, we will explain any necessary data sharing before it occurs.

Where a service provider processes personal data on our behalf, we put appropriate data processing arrangements in place. Providers acting as independent controllers are responsible for their own processing and privacy information.

If you follow a link to an external website or interact directly with a social media platform, its privacy notice applies to its processing.

7 International transfers

Our website and online store use Wix, an international service provider. Personal data processed through Wix may be transferred to or accessed from countries outside the European Economic Area, including Israel and the United States. Depending on the services used, other processing locations may include South Korea and Taiwan.
Where a transfer falls within a European Commission adequacy decision, that decision provides the legal basis for the transfer. This includes relevant transfers to Israel and South Korea.
For transfers not covered by an adequacy decision, Wix’s published data processing arrangements provide for European Commission approved Standard Contractual Clauses, together with additional technical, contractual and organisational safeguards where necessary.
Further information about Wix’s processing locations and safeguards is available in its Data Processing Agreement and subprocessor list.
You may contact us using the privacy contact details above to request information about the safeguards applicable to your personal data and how to obtain a copy. Any necessary redactions will be limited to protecting confidential information or the rights of others.

8 How long we keep your data

We retain personal data only for as long as necessary for the purposes described in this policy or to meet applicable legal obligations. Different retention periods apply to different records:

  • Invoices and statutory accounting records: We retain invoices for 10 years after the end of the calendar year to which they relate. Other mandatory accounting and tax records are retained for the period required by the applicable legislation.

  • Order and delivery records: We retain relevant records for five years after completion of the order to administer the purchase and address potential claims. Information required for tax compliance, product traceability or safety obligations may be retained longer where necessary. We do not retain unnecessary customer information solely because it was originally collected with an order.

  • Customer-service enquiries: Routine enquiries are retained for up to two years after the matter is closed. Correspondence concerning a purchase, complaint, safety issue or legal claim follows the retention period applicable to that matter.

  • Customer accounts: We retain account information while the account remains active. After three years without a login, purchase or other account activity, we review the account and notify you before deleting or anonymising information no longer needed. Account closure does not require us to delete invoices or other records that must be retained separately.

  • Pet questionnaires: Responses linked to an identifiable owner are retained for up to 24 months after submission. If you withdraw the consent on which this processing relies, we delete or anonymise the responses unless another lawful ground requires limited retention. Information that has been irreversibly anonymised may be retained for product-development analysis.

  • Newsletter subscriptions: We retain your subscription information while you remain subscribed. We review subscriptions after 24 months without meaningful engagement and remove inactive contacts where continued retention is no longer justified. You may unsubscribe at any time.

  • Consent and unsubscribe records: We retain limited evidence of consent for up to five years after the relevant consent is withdrawn or the processing ends, where necessary to demonstrate compliance. We retain a minimal suppression record for as long as we continue the relevant marketing activity, unless you subsequently make a valid new subscription request. This helps prevent accidental re-subscription.

  • Technical and security logs: Logs under our direct control are normally retained for up to 90 days. Relevant entries may be retained longer where necessary to investigate a security incident or address a legal claim. Logs managed by Wix or other providers are subject to the retention arrangements applicable to those services.

  • Cookies and analytics: Cookie lifetimes are stated in the cookie inventory in section 9. Personal data collected through analytics services is retained according to the disclosed and configured retention period for the relevant service; this may differ from the cookie’s lifetime.

Where a dispute, investigation or legal obligation requires longer retention, we restrict access and retain only the relevant information for the necessary period. We then delete or irreversibly anonymise it.
Deleted information may remain temporarily in restricted backup copies until those copies are overwritten or deleted through the applicable backup cycle. Backup copies are not used for ordinary business purposes. If a backup is restored, applicable deletion requests are reapplied.

9 Cookies and your choices

Our website uses cookies and similar technologies to support its operation and, where you consent, enable optional features, measure website use or support advertising.
Cookies are small files stored on your device. Some expire when you close your browser; others remain for a specified period unless deleted earlier. Cookies may be set by our website or by service providers.
Types of cookies

  • Strictly necessary cookies support services you request, such as maintaining your shopping basket, processing checkout, protecting the website and remembering your consent choices. These do not require consent where the legal exemption applies.

  • Preference cookies, where used, remember optional settings to personalise your experience.

  • Analytics cookies, where used, help us understand how visitors use the website.

  • Advertising cookies, where used, help measure campaigns and personalise advertising. Embedded third-party content may also use cookies or similar technologies.

We use optional cookies only after you consent to the relevant category.
Managing your choices
Our cookie pop-up allows you to accept or reject optional cookies or select your preferences. Optional categories are switched off until you choose them. Closing the pop-up or continuing to browse does not constitute consent.
You can review or withdraw your consent at any time by reopening the cookie settings using the cookie control on our website. Rejecting optional cookies does not prevent you from purchasing products.
Cookie details and duration
The detailed list available through our cookie settings identifies the cookies and similar technologies used, their providers, purposes and lifetimes. It also provides relevant information about third-party services. International transfers of personal data are explained in section 7 of this policy.
A cookie’s lifetime may differ from the period for which a provider retains information collected through it.
Browser controls
You can also delete or block cookies through your browser settings. Blocking strictly necessary cookies may prevent some requested functions from working.
Withdrawing consent does not affect processing lawfully carried out before withdrawal. Cookies already stored on your device may also need to be deleted through your browser settings.

10 Your data protection rights

Subject to the conditions and exceptions in the GDPR, you may request access to your personal data, correction of inaccurate data, erasure, restriction of processing and portability of data processed automatically on the basis of consent or contract.

You may object to processing based on our legitimate interests on grounds relating to your particular situation. You may object to direct marketing at any time, including any profiling related to that marketing; we will stop processing your data for those marketing purposes.

Where we rely on consent, you may withdraw it at any time without affecting the lawfulness of processing before withdrawal. To unsubscribe from marketing, use the link in our emails or contact us. A marketing opt-out does not stop necessary order, safety or service communications.

To exercise your rights, email info@doctorelk.com. We may request proportionate information to verify your identity if we have reasonable doubts. We respond without undue delay and normally within one month. If a lawful extension is necessary because of the complexity or number of requests, we will tell you within the initial month and explain the reason; the extension may be up to two further months. Requests are normally free of charge, subject to the GDPR rules for manifestly unfounded or excessive requests.

You may complain to the Slovenian supervisory authority, Informacijski pooblaščenec, Dunajska cesta 22, 1000 Ljubljana, Slovenia; email gp.ip@ip-rs.si; website www.ip-rs.si. You may also complain to the competent supervisory authority in the country of your habitual residence, workplace or the alleged infringement. You do not need to contact us first.

11 Security and automated processing

We use appropriate technical and organisational measures to protect personal data against unauthorised access, loss, alteration and disclosure. Access is limited to authorised people who need the information for their work. However, no online system can be guaranteed completely secure. Please do not send full payment-card details or unnecessary sensitive personal information through contact forms or email.
We do not use your personal data to make decisions based solely on automated processing that produce legal or similarly significant effects on you. Pet questionnaire responses are reviewed by our team when providing nutritional information or product suggestions.

12 Changes to this policy

We may update this policy to reflect changes in our services, processing activities or legal requirements. The date of the latest update appears at the top of this page.

Where required, we will notify you of material changes or obtain fresh consent before introducing new processing. Updating this policy does not itself constitute your consent.
